Marketing Project Manager

About the Role:

We’re looking for an experienced Project Manager to join our Operations team. You’ll partner closely with Client Service and Production to lead complex projects from intake through to delivery—defining scopes, building estimates, managing budgets, and keeping cross-functional teams aligned and moving.

Our Center of Excellence (CoE) is our internal network of specialists spanning marcomms, medcomms, creative, technology and omnichannel media. As Project Manager, you’ll own the end-to-end execution of projects that draw on this expertise—typically managing concurrent projects at varying stages, ranging from brand campaigns and digital executions to medcomms and regulatory-adjacent deliverables. You’ll proactively surface risks, make resourcing tradeoffs, and hold a high delivery bar across everything you touch.

What You’ll Do:

Project Setup and Planning

  • Lead project intake with Client Service: define scopes of work, build estimates, and establish workback schedules that set projects up for success
  • Identify and document key milestones, dependencies, and risks before work begins 

 

Operations and Resourcing

  • Own resourcing across the CoE—aligning the right specialists to each project and making informed tradeoff decisions as capacity and priorities shift
  •  Monitor team load across active projects and escalate or resolve conflicts proactively

 

Cross-Functional Coordination

  • Lead multidisciplinary teams across marcomms, medcomms, creative, technology, and omnichannel media
  • Own dependency management and stakeholder alignment, keeping every work stream connected and on track

 

Project Execution and Timeline Management

  • Own delivery end-to-end: manage timelines, scope, and budgets to ensure work is completed on time and to a high standard
  • Identify risks early, adjust plans decisively, and communicate changes clearly to all affected parties 

 

Client Communication Support

  • Partner with Client Service to manage project communications, ensuring expectations are set clearly and maintained throughout
  •  Support or lead client-facing updates, status presentations, and milestone reviews as needed

 

Process Improvement

  •  Identify and implement workflow improvements that make delivery faster, cleaner, and more consistent
  • Contribute to building the operational foundations—templates, processes, and tooling—that help the agency scale

 

What You’ll Bring:

Core Capabilities

  • Exceptional organization and attention to detail across multiple high-stakes, concurrent projects
  • Clear, confident communicator—equally effective in a client meeting, a cross-functional standup, and a written status update
  • Strong critical thinking and problem-solving; you anticipate blockers and resolve them before they become issues
  • Proven ability to manage complex, multi-stakeholder timelines and parallel workstreams
  • Experience building and managing detailed project plans, including scopes of work, estimates, and Gantt-style schedules
  • Solid understanding of resource and capacity management principles
  • Comfortable tracking, assessing, and reporting on project performance and team efficiency
  • Experience managing in-house, multidisciplinary project teams (communications, creative, technology, and media)

 

Technical Capabilities

  • Proficiency with spreadsheet tools (Excel or Google Sheets), including building estimates and tracking project performance
  • Comfort creating detailed scopes and project documentation in Word or Google Docs
  • Hands-on experience building and managing Gantt-style workback schedules
  • We use Smartsheet day-to-day; experience with the Smartsheet suite is a strong asset.
  • Familiarity with other PM tools (Asana, Jira, Monday, ClickUp, Wrike, or similar) is also welcome

 

Nice to Have

  • Experience managing projects that involve regulatory review by external governing bodies (e.g., ASC, PAAB, or similar)
