Office Manager

Who We’re Looking For

We are currently looking for a dynamic Office Manager to join our team, this role is focused on keeping our office operations seamlessly flowing, and supporting the needs of the business. This role will leverage your creative problem solving abilities to ensure that our team, space and administration needs are being addressed in alignment with our business goals. You will also be the face of our organization, greeting clients, setting up for special events and working with our building owners suppliers and partners alike to ensure everyone has a memorable experience with the agency.

Skills You Bring To The Stage

  • Outstanding project management skills with a keen focus on navigating challenges, being resourceful and doing whatever it takes to deliver on time
  • Understanding of office administration needs such as managing calendars, documentation, policy and procedure, expense / budget management, onboarding / offboarding staff, travel booking and event planning
  • Experience working closely with a dynamic leadership team with varying priorities
  • Excellent communication skills both written and interpersonal
  • A focus on client service and building relationships
  • Strong organization, detail orientation and prioritization skills
  • Passion for delivering an amazing experience whether in a simple interaction or large event setting.

The Role

In this role, your responsibility is to ensure the execution of four essential job requirements, each with sub-tasks. You’ll be empowered to be successful and to execute at a high level against the following core job requirements:

  • Office Management – Reception – including being the face of the agency to greet guests and answer phones, keep inventory stocked, keep the office cleaned, organized and operating efficiently, proactively set up board rooms for meetings and being the contact point for our landlord/supporting office and furniture updates when necessary
  • HR Admin – Putting job postings up, doing the first pass of resumes, setting up staff welcome packages, keeping staff list updated, keeping certification lists updated and supporting with onboarding and off-boarding logistics
  •  Finances – Helping to process AP/AR and running payroll
  • Logistics – Planning, procuring and having client gifts delivered for onboarding/ launches/ special occasions, managing inbound/outbound deliveries, travel bookings for the team and clients, support in planning the Holiday Party, Summer Party and community involvement

Additionally, you’ll sit on the Health & Safety Committee – ensuring we are maintaining operational standards, including leading the execution of any office Covid protocol.

Days & Timing

Operatic’s core hours of operation are Monday to Friday from 9:00 to 5:00 pm (5 days per week). Subject to statutory holidays, the working week during this agreement will be as follows:

  • You will be in-office Mondays 8:45-5:00 pm
  • You will be in-office Wednesday from 8:45-5:00 pm
  • You may work from the office or home on Thursdays from 9 am- 1 pm
  • You will be in-office (or running errands as necessary to ensure the following week is set up for success) on Fridays from 9 am – 1 pm

From time to time, your role can vary in workload and, as such, you may need to flex to meet those needs. For example, December can be very busy, so you may work 3.5 days per week at that time but 2.5 days per week in January to realign your hours.

Additionally, we may find, with the evolution of the company, a need to expand this role to 3.5 or 4 days per week. We will discuss and agree on the details with you in advance of the requirement.
